Membership Terms of Service

These Terms govern membership with the Australian Payroll Association Ltd (APA).
By joining or renewing your membership, you agree to these Terms and acknowledge that your membership benefits, access, and obligations are subject to this agreement.
1. Membership Categories and Term
Professional Membership
- Professional Membership is valid for 12 months from the date of sign up and renews automatically unless cancelled in advance.
- Renewal reminders will be sent prior to the renewal date.
- Members may cancel their renewal at any time by providing written notice via email to info@austpayroll.com.au or through their online members portal.
- Cancellations take effect at the end of the current membership term.
- No refunds or partial credits are issued for early termination or unused benefits.
- Access to member only resources and services will be suspended immediately upon expiry or cancellation.
Beryl AI Assistant Membership
- Beryl AI Assistant membership is offered as a monthly or annual subscription under separate terms and conditions.
- Each Beryl account is personal and must not be shared.
- Details of the Beryl subscription, including billing and cancellation policies, are outlined in the Beryl Terms of Service.
2. Membership Benefits
APA members receive access to exclusive resources and services as outlined on the APA website or in official materials.
Typical benefits include:
- Access to APA tools, templates, and member resources
- Discounted rates for APA training, events, and conferences
- Access to member helpdesk support
- Industry news, compliance updates, and newsletters
APA reserves the right to update, substitute, or withdraw benefits at its discretion, with or without notice.
3. Fees and Payment
- All membership fees are non refundable once processed.
- Fees may be paid via accepted payment methods listed at checkout.
- APA reserves the right to adjust membership pricing at renewal; any change will be communicated in advance.
- Members are responsible for ensuring accurate billing and payment details are maintained.
4. Privacy and Data Use
APA collects and manages member information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Personal information may be collected when you:
- Register or renew your membership
- Access APA platforms, events, or services
- Communicate with APA staff or representatives
Information is used to:
- Deliver membership benefits and updates
- Improve APA’s services and engagement
- Provide relevant communications, including marketing (where consented)
APA may share limited data with trusted third-party service providers to deliver membership benefits.

5. Data Security
APA stores member data securely using internal or third-party systems that meet strict confidentiality and security standards.
While reasonable precautions are taken, data transmission over the internet carries inherent risks.
APA is not responsible for unauthorised access or disclosure occurring beyond its control.
6. Code of Conduct
Members must act professionally, respectfully, and in line with APA’s values.
Misconduct that may result in suspension or termination (without refund) includes:
- Harassment, discrimination, or abusive behaviour
- Unlawful or unethical activity
- Misuse of APA platforms or materials
APA reserves the right to revoke membership or access in the event of serious or repeated breaches.
7. Member Accounts and Access
- Member login credentials are personal and must not be shared or transferred.
- Members are responsible for maintaining account security.
- APA may suspend or revoke access if misuse, unauthorised sharing, or breaches occur.
8. Communications and Marketing
By joining APA, you consent to receive membership related communications, including administrative notices, updates, and industry news.
You may opt out of marketing communications at any time. However, doing so may limit your access to certain member updates or benefits.
9. Amendments to Terms
APA may revise these Terms periodically.
Updated versions will be published on the APA website and become effective immediately upon posting.
Continued use of membership services constitutes acceptance of the updated Terms.
10. Limitation of Liability
- Membership benefits are provided “as is” without warranties, express or implied.
- While APA endeavours to ensure the accuracy of all resources, it does not guarantee completeness or error free content.
- To the extent permitted by law, APA is not liable for any direct, indirect, or consequential loss or damage arising from the use or reliance on APA materials or services.
11. Governing Law
These Terms are governed by the laws of New South Wales, Australia.
Any disputes arising under or in connection with these Terms shall be subject to the non-exclusive jurisdiction of the courts of New South Wales.
12. Entire Agreement
These Terms, together with any referenced documents (including the Beryl Terms of Service and the APA Privacy Policy), constitute the entire agreement between you and the Australian Payroll Association Ltd (APA) and supersede all prior representations, understandings, or agreements, whether written or oral, relating to your membership.
No variation of these Terms will be valid unless made in writing and published by APA.
Beryl AI Assistant Terms of Service

These Terms govern your use of the Beryl Payroll Assistant ("Beryl"), a subscription service provided by the Australian Payroll Association Ltd (APA).
1. Subscription & Access- Beryl is a paid subscription service available on a monthly or annual basis.
- Subscriptions are billed in advance and renew automatically unless cancelled.
- Access is granted per account and must not be shared across multiple individuals or organisations.
- You may cancel your subscription at any time by providing written notice via email to info@austpayroll.com.au or by processing your cancellation via your online membership portal.
- Cancellation will take effect at the end of your current billing period (monthly or annual).
- No refunds will be issued for unused time on either monthly or annual plans, including for early termination.
- Upon cancellation, access to Beryl will continue until the end of your paid term, after which your account will be deactivated.
- You agree not to misuse Beryl in any way, including for unlawful, abusive, or automated data collection purposes.
- You must not interfere with the normal operation of the service or its infrastructure.
- All content, designs, AI models, and tools within Beryl are the property of APA or its licensors.
- You may not copy, reproduce, or distribute content without written permission from APA.
- Beryl provides general payroll information only and does not constitute legal, financial, or professional advice.
- APA makes no guarantees regarding the accuracy, completeness, or fitness of responses for your specific circumstances.
- Any feedback you provide may be used by APA for internal improvements, marketing, or product development without compensation or obligation.
- APA is not liable for any direct, indirect, or consequential damages arising from your use of Beryl, including loss of data, business interruptions, or reliance on inaccurate information.
- APA may suspend or terminate your access to Beryl if you breach these terms.
- On termination, all access will be revoked and data may be retained in accordance with our data retention policy.
- APA may update these Terms from time to time. Updates will be posted on our website and, where material, notified via email or platform alerts. Continued use of Beryl signifies acceptance of updated terms.
License Restrictions
Beryl Software is provided for personal, non-commercial use only. By using the software, you agree to the following restrictions:
- No Commercial Use: You may not use the software, in whole or in part, for any commercial purposes. This includes, but is not limited to, providing services, support, or solutions to third parties, whether paid or unpaid.
- No Reproduction or Distribution: You may not copy, reproduce, modify, distribute, sell, sublicense, rent, or otherwise transfer the software or any portion of it to any third party.
- No Use as an Information Source: You may not use the software as a data or information source for any other service, system, or product. For example, the software may not be used to generate or supply responses for helpdesk tickets, knowledge bases, or similar services for your organisation or others.
- Personal Use Only: The software is intended solely for your individual personal use. Any use outside this scope is strictly prohibited.
Violation of these restrictions may result in termination of your license and/or legal action.
Privacy Policy

Australian Payroll Association Ltd (APA) respects your privacy and is committed to protecting it. This Privacy Policy explains how and why we collect, use, and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
By using our website, registering for an event, or engaging with our services, you consent to this Privacy Policy.
1. Information We Collect
We collect personal and organisational information that enables us to deliver our products, services, and communications. This may include:
- Full name, job title, organisation, and contact details
- Email address, phone number, and mailing address
- Event registration and attendance details
- Subscription, training, or product purchase data

2. How We Use Your Information

- Send marketing and promotional material where consent is given
- Improve our services, website experience, and event operations
- Conduct data analysis, reporting, and internal quality assurance
- Comply with legal, financial, and regulatory obligations
You may opt out of marketing communications at any time by using the unsubscribe function or by contacting APA directly.
3. Disclosure of Information
We may disclose personal information to:
- APA directors, employees, and contractors for service delivery
- Third party service providers including hosting, analytics, marketing, and event technology partners
- Sponsors or exhibitors (where you have consented, such as by badge scanning at an event)
- Regulatory authorities or legal entities as required by law
APA takes all reasonable steps to ensure that any third party recipients comply with privacy and data protection obligations equivalent to those required under Australian law.
4. Overseas Disclosure
Before transferring data overseas (for example, to cloud hosting or event management platforms), APA ensures the recipient complies with the Privacy Amendment (Enhancing Privacy Protection) Act 2012 (Cth) and offers privacy protection substantially similar to that under the APPs.
5. Data Security
We implement robust security controls to protect personal information, including:
- Secure enterprise grade servers hosted in Australia or equivalent jurisdictions
- Encrypted data transmission using HTTPS/TLS
- Role based internal access controls
- Routine data backups and security audits
While we take all reasonable steps to protect your information, transmission of data over the Internet is not entirely risk free, and APA cannot guarantee complete security.
6. Data Retention
APA retains personal information only as long as necessary to meet business, legal, or compliance requirements, including:
- Provision and support of services or events
- Quality assurance and analytics
- Record keeping in line with financial or legal obligations
Once data is no longer required, it will be securely deleted or anonymised.
7. Access, Correction, and Deletion
You may request access to, correction of, or deletion of your personal information at any time by contacting: info@austpayroll.com.au
APA will respond to all verified requests within 30 days. A reasonable fee may apply for data retrieval.
If you wish to delete your information, APA will remove it from active systems unless retention is required by law.
8. Complaints
If you believe APA has breached this Privacy Policy or the Australian Privacy Principles, please contact: info@austpayroll.com.au
We take all complaints seriously and aim to acknowledge and investigate within 48 hours.
If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) for further assistance.
9. Updates to This Policy
APA may update this Privacy Policy from time to time. The latest version will always be available on our website.
Your continued use of our services or participation in APA events signifies acceptance of the most recent version.
Event Policy

These Terms govern attendance at any training, seminar, workshop, conference, or webinar (collectively, “Events”) organised by the Australian Payroll Association Ltd (APA). By registering for or attending an Event, you agree to comply with these Terms.
1. Definitions
Event
Any APA organised activity, including classroom based or online training, seminars, workshops, conferences, or webinars.
Event Date
The scheduled date on which the Event takes place.
Event Location
The physical or virtual venue where the Event is held.
Cancellation
A written notification that you no longer wish to attend the originally booked Event or any future rescheduled Event.
Change of Event Location or Date
A request to transfer attendance to an alternative date or location of the same Event, subject to availability and applicable fees.
Change of Attendee Name
A substitution request where the original attendee is replaced by another person for the same Event date and location.
2. Registration & Attendance
- Event registration is confirmed upon receipt of payment and a confirmation email from APA.
- Attendance is valid only for the registered individual and may not be shared or transferred except as outlined under “Change of Attendee Name.”
- APA reserves the right to modify Event content, speakers, or schedules without prior notice.
To maintain a professional and respectful environment, attendees are prohibited from engaging in any form of solicitation, promotion, or recruitment during Events unless expressly authorised in writing by APA.
This includes, but is not limited to:
- Promoting or selling products or services to attendees, speakers, exhibitors, or sponsors.
- Distributing marketing materials or business cards in an unsolicited manner.
- Recruiting for employment, business, or commercial ventures.
Violations may result in immediate removal from the Event without refund and exclusion from future participation. Sponsorship or exhibitor opportunities are available upon request.
4. Right to Refuse Entry or Removal
APA reserves the right to refuse entry or remove any attendee from an Event for behaviour deemed inappropriate, disruptive, unsafe, or in breach of APA’s Code of Conduct.
Such action may be taken at APA’s discretion and without refund.
This includes but is not limited to harassment, disorderly conduct, unauthorised solicitation, or failure to comply with Event staff directions.
5. Cancellations
- All cancellations must be made in writing to info@austpayroll.com.au.
- If you are unable to attend, you may request a transfer or name change as outlined below.
- No refunds are provided for cancellations once an Event booking is confirmed.
Requests to change Event Location or Date must be made in writing to info@austpayroll.com.au and are subject to availability. Only one change is permitted per booking.
Online Events (Training, Seminar, Workshop, Webinar)- More than 28 days before Event: Administration fee of $100 + GST
- 28 to 7 days before Event: Administration fee of $175 + GST
- Within 7 days of Event: No changes permitted
- More than 28 days before Event: Administration fee of $100 + GST
- 28 to 14 days before Event: Administration fee of $200 + GST
- Within 14 days of Event: No changes permitted; non attendance is deemed a Cancellation
Incorrect selection of Event Date or Location during registration will incur the applicable administration fee.
7. Change of Attendee Name
Requests must be made in writing to info@austpayroll.com.au. Only one name change is permitted per booking.
- More than 7 days before Event: Administration fee of $100 + GST
- Within 7 days of Event: Administration fee of $175 + GST
- On the day of Event: No name changes permitted
Incorrect attendee details provided at registration will incur the applicable administration fee.
8. Summit Registration
By registering for an APA Summit, attendees acknowledge and consent that scanning of name badges by sponsors or exhibitors may result in the sharing of contact details for marketing purposes.
Attendees may unsubscribe from such communications at any time.
9. Event Photography and Media Consent
By attending an APA Event, you consent to being photographed, filmed, or recorded. APA may use such materials for promotional or marketing purposes across digital and print platforms.
If you do not wish to be photographed or recorded, please inform an APA event staff member upon arrival.
10. Liability & General Provisions
- APA reserves the right to cancel, reschedule, or modify Events where necessary. In such cases, APA will offer an alternative date or credit toward a future Event.
- APA is not responsible for costs incurred by attendees relating to travel, accommodation, or other personal expenses arising from Event changes or cancellations.
- Attendance at any APA Event constitutes acceptance of these Terms.
11. Force Majeure
APA is not liable for any delay, interruption, or cancellation of an Event due to circumstances beyond its reasonable control, including but not limited to natural disasters, government restrictions, public health emergencies, industrial disputes, power or network failures, or other acts of God.
In such circumstances, APA will make reasonable efforts to reschedule the Event or provide an equivalent credit toward a future Event.
12. Changes to this Policy
APA may update this Event Policy periodically. The latest version will be published on our website, and continued registration or attendance constitutes acceptance of any updated terms.
